Policies & Expectations

Parent Conduct

  • Treat coaches, players, umpires, opponents, tournament staff, and other families with respect
  • Do not coach from the stands, behind or in the dugout, or during games
  • Respect coaching decisions including lineup, positions, batting order, pitching, and playing time
  • Avoid confronting coaches immediately before, during, or after games — use the communication process
  • Avoid gossip, sideline criticism, social media complaints, or divisive behavior that harms team culture

Payment Policy

Program fees support coaching, practice planning, facility rentals, tournament coordination, administration, insurance, uniforms, equipment, and related team expenses. Payments are made to the organization, not directly to an individual coach or parent.

  • A written payment schedule is provided before accepting a roster spot
  • Late payments may result in late fees or temporary suspension from team activities
  • Approved payment arrangements must be made in writing before the due date

Refund Policy

Deposits and registration fees are generally non-refundable once a player accepts a roster spot. Many costs are committed in advance including tournament entries, facility rentals, uniforms, equipment, and coaching commitments.

  • No refunds for missed practices, missed games, schedule conflicts, or weather cancellations
  • No refunds for reduced playing time, dissatisfaction with coaching decisions, or voluntary withdrawal after expenses have been incurred
  • Relocation or family emergency requests may be reviewed case-by-case at the organization's discretion
  • Removal for misconduct, non-payment, or policy violations does not result in a refund

Communication

Use a 24-hour cooling-off period before raising concerns about playing time, coaching decisions, or game strategy. Communication should be respectful, solution-focused, and directed to the appropriate person.

Travel Expectations

  • Families are responsible for transportation to and from all practices, games, and tournaments
  • Families are responsible for hotels, meals, transportation, and player supervision outside team activities
  • The organization may set arrival times, curfews, hotel conduct rules, and uniform expectations for travel events
